
Payroll Clerk
The Prince Albert Catholic Division requires a Payroll Clerk to join a strong finance team that serves approximately 3000 students and 350 staff. Our school division has six elementary schools and one high school with French Immersion and English education opportunities.
This position will provide an exciting challenge for experienced and qualified candidates who possess strong knowledge of administration practices and reporting requirements associated with all employee benefits and deductions, and payroll operations. The candidate must be able to communicate and support stakeholders (students and staff) while working with a team. The Payroll Clerk will work directly with the
Chief Financial Officer to build, maintain and support the school division payroll infrastructure and all associated applications for both educational and business operations.
Job Description
The Payroll Clerk is directly responsible to the Chief Financial Officer. He/she will provide administrative support and innovation for the Prince Albert Catholic School Division. Without restricting the generality of the foregoing, the Payroll Clerk shall be responsible for the following:
- Prepare and process payroll in a timely manner to ensure accurate payment of employees
- Maintain information in the computerized payroll system to ensure computation of payroll is complete and accurate.
- Maintain employee files that contain personnel and payroll history, including confidential information and documents.
- Create and maintain employee personal, payroll, banking, and benefit information within the payroll system.
- Enter additional information from time sheets and other source documents to facilitate payment of employees paid on an hourly or conditional basis.
- Prepare and balance regular remittances for deductions for Receiver General, pension plans, employee benefit plans, RRSP contributions, garnishees, union dues, and other deductions.
- Prepare and balance electronic transfer of bank files created by the payroll system for distribution to employee bank accounts.
- Prepare employee Statements of Earnings and Deductions.
- Pension adjustment calculation for T4 preparation.
- Reconcile T4 information and prepare and transmit T4 data to employees and Canada Revenue Agency.
- Prepare Records of Employment for employees in accordance with legislation.
- Calculations, adjustments, and reporting required with STF, Teacher’s Superannuation, and Municipal Employees’ Pension Plan.
- Update employee benefit plans with employee changes.
Perform other duties that may be assigned by the Director of Education or Chief Financial Officer from time to time.
Training and Experience Requirements:
The requirements of the Payroll Clerk are subject to change as the needs of the school division and the requirements of the position evolve. Requirements include:
- Successful completion of Grade 12.
- Payroll Compliance Practitioner designation is an asset
- Completion of post-secondary courses in accounting or financial management from a recognized educational institution is an asset.
- Payroll experience of two years or more is an asset.
- Demonstrate knowledge of applicable legislation governing payroll and related employee deductions.
- Demonstrate knowledge of current accounting and payroll practices and policies.
- Demonstrate knowledge of computerized payroll systems.
- Demonstrate analytical skills and attention to detail.
- Experience with accounting system software (knowledge of SRB Atrieve is an asset).
- Experience with Windows computers and Microsoft Excel and Word
